Office Administrator

The Role
In this vital role, you’ll take charge of our administrative, financial, and logistical functions that keep our business thriving, such as payroll billing, shipping, and tax coordination.
We are looking for someone experienced in finance who is excited to handle everything from finance to coordinating international freight. You will collaborate closely with the General Manager and regularly connect with colleagues, customers, and dealers. Your impact will be truly significant!
What You'll Own
Finance & Billing
- Process payroll on schedule
- Manage order confirmation and invoicing in coordination with HQ in Sweden
- Own the full accounts payable cycle — cashflow, receive, code, approve, route, and pay invoices
- Track vendor payment schedules and catch anything that looks off
- Coordinate with HQ in Sweden on tax filings, monthly and year-end preparation
- Expense tracking and bookkeeping
Shipping & Logistics
- Coordinate all inbound and outbound shipments — domestic and international
- Single point of contact between our suppliers, freight carriers, and customers
Office Management & Marketing
- Keep the office stocked, organized, and running smoothly with printed matters and marketing material
- Handle business registrations, compliance filings, and insurance documentation as directed by HQ Sweden
- Support new hire onboarding — equipment, access, paperwork, and benefits enrolment
What We Need
Required
- 5+ years in an office administration, finance, operations coordinator, or similar role
- Hands-on ERP/Finance/payroll system experience — you use it regularly, not just occasionally
- Experience coordinating shipments and working with freight carriers
- Strong written and verbal communication — professional, clear, and on time
- High proficiency in Microsoft Office (Excel, Word, Outlook)
- Must be able to work on-site in Kennesaw, GA — this role is not remote
- Ability to travel domestically approximately 10% of the time
Preferred
- Experience supporting a sales team or dealer/partner network
- Familiarity with payroll platforms (ADP, Gusto, Paychex, or similar)
- International shipping and customs documentation experience
- CRM or order management system experience

Schedule: Monday – Friday, Standard Business Hours
Travel: Approximately 10% — occasional domestic travel as needed
Type: Full-Time
Reports To: General Manager, US
Compensation: Competitive — based on experience
